Supplementary Education Attendance
Policy
1. Purpose
This Attendance Policy sets out the expectations and procedures for young people
participating in the supplementary education provision of the Action Youth Boxing
Intervention (AYBI). The policy ensures that participants attend regularly, arrive on time, and
engage fully in all learning sessions, supporting their personal, educational, and social
development.
2. Principles
Commitment: Consistent attendance is essential for achieving positive outcomes.
Respect: Respecting the time of staff, peers, and the program by attending regularly.
Support: Recognising barriers to attendance and offering appropriate support.
Responsibility: Encouraging young people to take ownership of their learning and
conduct.
3. Expectations
Participants are expected to attend all scheduled education sessions unless there is a
valid reason for absence (e.g., illness, family emergency, prior agreement with staff).
Participants must arrive on time and remain for the full duration of each session.
Parents/carers (where appropriate) must inform the program of absences in advance
or at the earliest possible opportunity.
Staff will record attendance at the start of every session.
4. Reporting Absences
Absences must be reported by phone, text, or email before the session begins.
If no contact is made, staff will follow up with the young person and/or their
parent/carer to check welfare and encourage re-engagement.
5. Authorised vs. Unauthorised Absence
Authorised Absence: Sickness (with explanation), family emergency, pre-agreed
appointments, or exceptional circumstances.
Unauthorised Absence: Failure to attend without prior notice or acceptable reason.
6. Monitoring and Intervention
Attendance will be monitored weekly.
If a participant’s attendance drops below 85%, staff will arrange a review meeting
with the young person (and parent/carer if appropriate).
Persistent non-attendance without good reason may result in:
1. A formal warning,
2. A support plan to address barriers,
3. Suspension from the program if no improvement is made.
7. Rewards and Recognition
Certificates, recognition awards, or progression opportunities will be given to
participants who achieve high attendance (95%+).
Positive attendance will be celebrated within the program to encourage motivation
and consistency.
8. Safeguarding and Welfare
Any absence that raises concern about a young person’s welfare will be followed up
in line with the program’s Safeguarding Policy.
The safety and wellbeing of young people will remain the highest priority.
9. Review of Policy
This policy will be reviewed annually to ensure it continues to meet the needs of participants
and supports the overall aims of the Action Youth Boxing Intervention.
